These terms govern your use of this website and summarise the standard terms on which Knox Findata (Pty) Ltd ("Knox") provides its services. Signed service agreements take precedence over this summary where they differ.
The service
Knox provides automated backup, monitoring and recovery of financial data, specifically accounting and payroll databases, together with related consulting. The scope of what is backed up is agreed and recorded in writing at onboarding. Knox does not back up full servers, email or files outside the agreed scope. Anything outside the recorded scope is not protected by Knox, and responsibility for it remains with you or your IT provider.
Subscriptions and billing
- Services are billed monthly in advance by debit order, month to month
- A once-off onboarding fee applies per the published pricing
- Either party may cancel on one calendar month's written notice
- Consulting time for data downloads or software uninstallation on exit is billed at the prevailing hourly rate
- Knox is not currently VAT registered and no VAT is charged. Should Knox become VAT registered, VAT will apply as required by law
Long-term retention
The 5-year statutory retention service runs as a rolling five-year window aligned to SARS record-keeping requirements. As each archived year passes beyond five years it is deleted, and the deletion is confirmed to you in writing. Longer retention periods are available on request and billed at the same rate. Fees reflect stored volume in 15 GB blocks, and your archive grows as closed years accumulate. You are not paying for disk space. You are paying for certainty of access to closed years should SARS require them.
Recovery times
Our priority restore assurance targets operational processing within 3 hours of your call. This is a service standard we have met and work to meet, not a contractual guarantee. Actual recovery time depends on factors outside Knox's control, including your internet connectivity, the availability of working hardware or the virtual-server recovery path, and software licensing and reactivation processes of third parties such as Sage.
Your responsibilities
- Maintaining a working internet connection at your premises
- Granting and maintaining the agreed remote access (TeamViewer) required for the tier and services you have selected
- Informing Knox of changes that affect the backup scope, such as new company databases, server changes or financial year-ends where these are not already managed under your tier
- Keeping your own statutory records as required by law, except where you have engaged Knox's long-term retention service
Liability
Knox's total liability for any claim arising from the services is limited to the fees paid by you in the three months preceding the claim. Knox is not liable for indirect or consequential loss, including loss of profits, business or data outside the agreed backup scope. Nothing in these terms limits liability that cannot lawfully be limited.
