  • PAYE and UIF registered
  • EMP201 and EMP501 up to date

The opportunity

Your Payroll May Hold an Opportunity Worth Exploring.

Payroll is one of the major ongoing expenses of running a cleaning company. With staff costs, client demands and day-to-day operations to manage, reviewing every possible payroll savings opportunity is difficult to do yourself.

Knox helps eligible cleaning companies assess whether legitimate payroll rebates or other relevant savings opportunities may be available to them. The first step is to establish whether your business meets the requirements and whether an assessment is appropriate.

The assessment

Understand What May Be Available to Your Business.

The Payroll Savings Assessment is a short online questionnaire about your business and payroll. It takes about two minutes and establishes whether a detailed payroll review may be worthwhile.
Any potential savings depend on your company’s circumstances and the detailed review that follows.

The assessment establishes

  • What savings may currently be available
  • What could be achieved through payroll optimisation
  • Whether proceeding with implementation makes sense for your business

If you qualify

What Knox Needs for the Full Analysis.

The assessment itself needs nothing prepared. If your company looks eligible, Knox asks for specific payroll and employee information to put an accurate figure on the saving and confirm what is actually due.

Knox confirms the exact information required, and how to supply it, before this stage begins.

Requested at the analysis stage

  • Year of birth for each relevant staff member
  • Remuneration rate
  • Total hours worked
  • Whether an employee is connected or related to another employee, where relevant
  • Remuneration received during the previous six months
  • EMP201 submissions for the previous six months

Timing

When Could the Savings Reflect in Your Payroll?

The timing depends on your company’s circumstances, the information required, and the assessment and implementation process. Knox explains the timing relevant to your company before you proceed.

Current expected timing

Savings are realised once Knox has processed your payroll and submitted the tax figures to SARS, which are due on the 7th of the following month. The exact start depends on when your information is received and implementation is complete.

Payroll Savings Questions

South African cleaning companies employing between 15 and 300 cleaning staff may qualify if they are registered for PAYE and UIF and their EMP201 and EMP501 submissions are up to date. An assessment establishes whether relevant savings opportunities are available.

The amount depends on your company’s circumstances and the assessment results. Knox reviews your payroll information to establish whether potential savings opportunities exist and what they may be worth to your business.

For the assessment: each relevant staff member’s year of birth, remuneration rate and total hours worked, whether an employee is connected or related to another, remuneration received during the previous six months, and your EMP201 submissions for the previous six months.

If you proceed, Knox then needs your company registration documents, employee details (address, banking details, remuneration, leave and tax numbers) and your e-filing details. A representative completes a master payroll spreadsheet, which takes about 30 seconds to a minute per employee.

Knox gathers the required information, reviews your payroll position and assesses whether potential savings opportunities exist. If implementation is appropriate, Knox explains the proposed process and the commercial arrangement before you decide whether to proceed.

Yes. For clients who proceed with implementation, payroll moves to Knox, and there is no charge to move it over. The arrangements are discussed with you before implementation begins.

Yes. Payroll system setup is free, and so is moving your payroll over. This does not make the whole service free: Knox’s fee is linked to the savings achieved through implementation, and it is explained before you proceed.

The purpose of the assessment is to identify legitimate payroll savings opportunities and to implement the agreed changes correctly. If you have specific concerns, raise them with Knox before proceeding and they will be addressed in plain terms.
