Who we are

Knox provides payroll savings assessment and review services for cleaning businesses in South Africa. We are the responsible party for the personal information described in this policy under the Protection of Personal Information Act, 4 of 2013 (POPIA).

What we collect

When you complete the Payroll Savings Assessment, we may collect:

• Your first name, email address and mobile or contact number
• Information about your business, including its name, province or location and number of employees
• General information about your business’s employees and payroll, such as how payroll is run and whether the business pays PAYE
• Information about your role in the business and your circumstances as an owner
• Any other information you choose to provide

The initial assessment asks general questions only. It does not require detailed employee-level payroll records.

If your business proceeds to a detailed review or implementation, we may request further payroll-related information, which can include payroll reports, PAYE or EMP201-related information and employee-level details needed to check eligibility. We will tell you what is needed at that stage, and you decide whether to provide it.

We ask you not to include special personal information (such as health, religious or biometric data) in any free-text field.

Why we collect it

• To determine whether your business fits the assessment criteria
• To provide your assessment results and related findings
• To contact you about your assessment and next steps
• To arrange a follow-up or Payroll Savings Call where appropriate
• To conduct a more detailed payroll review where your business proceeds
• To provide relevant resources or services based on the information you give us
• To operate, maintain and improve this website and the assessment process
• To meet our legal and regulatory obligations

We do not sell personal information.

How we communicate with you

If you complete the assessment, we may contact you by email, telephone or WhatsApp to confirm your submission, share your results, explain next steps, follow up on an identified opportunity, or provide relevant resources or services.

Completing the assessment does not mean you have agreed to receive all marketing from Knox. Any direct marketing we send is subject to POPIA, and you can object or ask us to stop at any time by emailing info@knoxfindata.co.za or using any opt-out option provided in the message.

Who processes it with us

Assessment platform. The Payroll Savings Assessment is built and processed through GoHighLevel / VanX, a platform we use to collect and manage information submitted through the assessment and to communicate with you about it.

Other service providers. We may share information with service providers where necessary to operate the website, the assessment process, our communications or related services. These providers act on our instructions and may only use the information for the purpose we give it to them.

Analytics and advertising

This website uses Google Analytics to understand how the site is used and to improve it. Analytics only runs once you accept cookies on this site, and you can change that choice at any time.

These technologies may collect information about your device and how you use the site, such as pages viewed and actions taken, through cookies or similar technologies. Clicking a button on a landing page is not, on its own, treated as a qualified lead. Advertising conversion events are recorded only when a business completes the assessment and qualifies.

You can limit this collection through your browser settings or the controls offered by Google. Our Cookie Policy sets out exactly what this site loads and how to turn it off.

Processing outside South Africa

Some of the service providers we use may process or store information outside South Africa. Where this happens, we take the steps required by applicable law to make sure your information remains protected.

How long we keep it

We keep personal information only for as long as reasonably necessary for the purposes described above, to provide our services, resolve any matters, maintain our records and comply with applicable legal obligations. When it is no longer needed, we delete or de-identify it.

Security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access to the information you provide is limited to people who need it to do the work described in this policy. No method of transmission or storage is perfectly secure, but we take the protection of your information seriously.

Your rights

Under POPIA you may:

• Ask us to confirm what personal information we hold about you and request access to it
• Ask us to correct or update it
• Ask us to delete it, where the law allows
• Object to certain processing
• Withdraw consent where processing is based on consent
• Object to direct marketing at any time
• Lodge a complaint with the Information Regulator
